Booking Terms & Conditions

CARIBBEAN AGENCY, doing business as CARIBBEAN FLIGHTS, is a Limited Liability Company established 2915 Ogletown Road # 2745, Newark, DE 19713 (USA); with Sales office located 42 Broadway, 12th Floor, Suite 268, New York, NY 10004 (USA); and Operations office St Jean Airport, BP 541, 97133 St. Barthelemy, (French Caribbean).

By signing this document, the client authorizes CARIBBEAN AGENCY (D.B.A. “Caribbean Flights”) and its affiliated agents (partners, vendors and subcontractors) to use the credit card provided according to the Payment terms below.


Payment terms

All charter bookings must be prepaid according to the following schedule:

1. To “hold” the charter airplane and crew, a non-refundable deposit will be required by credit card.

2. To “confirm” the trip, balance payment will be requested by the operations office during the booking process. Specific instructions with payment method and due date will be provided.


Cancellation & Modification Terms

IMPORTANT: Traveling to the Caribbean region is subject to various health risks and natural disasters (hurricanes, volcanic eruptions, earthquakes…) that might affect the upcoming trip.

To cover unexpected situations, we strongly recommend subscribing to travel insurance, with the “CFAR” option (“Cancel For Any Reason”). Please refer to a travel agency or insurance company for more information.

All Charter Reservations are non-refundable: “USE IT OR LOSE IT”.

No show at the scheduled check-in time is considered as a charter cancelation with a 100% penalty fee. To make it clear, the “NO-REFUND” policy also applies to connecting airline delays (if significant), schedule changes or cancellations; immigration or visa issues; family emergencies; medical emergencies; natural disasters; epidemic/pandemic situations; government-issued travel restrictions or bans; acts of terrorism; acts of war; or any other reason. Please verify coverage with your travel insurance.

Minor alterations to a confirmed booking (such as adding a passenger, changing the schedule, or others) are subject to availability and operations office’s approval. Additional taxes and fees will apply in addition to a minimum processing fee of $300 USD (or €300 EUR) per change.


Substitution Policy, Weather Disruptions & Day Light Restrictions

Caribbean Flights (or its agents) reserve the right to substitute an aircraft offering similar value and transportation characteristics without prior notice nor financial compensation. In certain weather circumstances, pursuant to regulations and/or safety, the aircraft will not be able to depart. Caribbean Flights (or its agents) in cooperation with the operator will review these issues affecting your travel and offer the best alternate solution to minimize travel disruptions. Some Caribbean airports are subject to sunrise and sunset landing restrictions. No take-off and landing are allowed outside daylight hours. For example: St Barthélemy (“St Barths”), Nevis, Virgin Gorda, most Grenadines islands, most Bahamian islands.... Caribbean Flights (or its agents) will not be liable for any delay and/or cancellation of the charter reservation due to late inbound flight, traffic congestion, or others, that may occur at the airport of transit.


Travel Documents

All passengers (including children and infants) must have valid travel documents before the trip. This may include a valid Passport, an ID card, and in some cases a Visa. It is the Passengers’ responsibility to check the validity of documents (i.e. expiration dates) and possible visa requirements for the visited country. Copies of these documents will be required by Caribbean Flights during the booking process in order to comply with APIS regulations issued by the US Customs & Border Protection and CARICOM agencies.

Official and updated requirements must be checked by the passengers contacting the authorities directly.

Failure to provide valid travel documents “in due course” will eventually generate a cancellation of the booking and deposited funds will be forfeited.

All travel documents MUST be uploaded into the passenger’s booking as per the instructions provided during the reservation process.

Except for last-minute bookings, Travel Documents received on short notice prior to the charter departure will be subject to a late processing fee of $100 USD (or €100 EUR) per document.

To allow faster processing of the booking and avoid additional fees, we recommend providing the required documents during the reservation, or “as early as practical”, using the travel documents upload link (loading instructions will be provided).


Luggage Allowance

Each passenger is allowed 1 checked luggage + 1 personal item (i.e. cabin bag that must fit under the seat). Checked luggage dimensions & weight not to exceed 25 in x 18 in x 11.5 in (63 cm x 46 cm x 30 cm), and 50 lbs. (23 kg). Personal item dimensions & weight not to exceed 16 in x 12 in x 8 in (40 cm x 30 cm x 20 cm) and 10 lbs. (5 kg). No oversized luggage allowed. Special luggage (baby strollers, golf bags, kite gear, scuba equipment, animal kennels...) must be pre-approved. If luggage does not comply with the above restrictions, the Captain of the flight may decide to offload the luggage before departure without financial compensation.


Passenger Restrictions

Most charter aircraft are small and limited in size. For comfort and safety, the following restrictions apply to all passengers: Weight 220 lbs./100 kg; Height 6’3”/1.90 m. Passengers above these limits must be pre-approved by the operations office. Passengers requiring wheelchair (or other medical) assistance must contact the reservations office to confirm availability of service prior to the booking.

Caribbean Flights refers to Caribbean Agency LLC, a Delaware corporation and other parties responsible for providing air charter services.
All network partners are certified air taxi operators required to adhere to safety requirements set forth by Civil Aviation Authorities.
